Keeping sizes and stock right on your shop link

Open the product and each size has its own price and stock. Leave stock empty for a size you do not count. A switch shows or hides each size on your link without deleting it. Save changes and the link updates. Products shows how many are left per size, and confirming an order takes the stock.

What does this tour show?

It shows a sample perfume seller tidying her stock late in the afternoon. Hiruni has only two bottles of Amber Night 10ml left after a good day. If buyers keep ordering it from her status, she will have to message someone to say sorry. She wants the link to know what she has, so buyers cannot order what she has not got.

The tour has three steps on one phone screen: the sizes of one product with their price and stock, the switch that shows or hides a size, and the products list with a stock label beside each size.

Why does stock matter for someone who sells from home?

Because every oversold order costs more than the sale. A buyer who orders, waits and then hears the bottle is gone is a buyer who may not tap your next status. At home, stock is often a box under the bed rather than a shelf, and it is easy to forget that the last two went to a cousin. A count per size, taken off automatically when an order is confirmed, means the link does the remembering.

It also helps the other way. When a size shows Out of stock, it is a prompt to reorder, or to decide that size is not worth carrying.

Step by step

  1. Open the product. At 16:30 Hiruni opens Products and taps Amber Night. The edit screen opens with a Sizes section at the top and a short note: leave stock empty if you do not count it.

  2. Read each size's price and stock. The 10ml card shows a price of 2,100 rupees and a stock of 2. It is outlined so it stands out. The 5ml card shows a price of 1,350 rupees and stock Not counted, because Hiruni decants 5ml bottles to order from a larger one.

  3. Decide whether to count a size. Counting makes sense for a sealed bottle she buys in. It makes less sense for a size she fills herself as orders come in. Leaving the 5ml uncounted keeps it on sale without pretending to know a number she does not track.

  4. Use the show switch for each size. Under each size is a line, "Show 10ml on my link", with a switch. Both are on. If the last two 10ml bottles were promised to a friend, she could switch 10ml off and buyers would only see the 5ml, while the price and stock stay saved.

  5. Save changes. She taps Save changes under the sizes. The link updates straight away. A buyer who opens it a minute later sees only what is on show, at the prices set here.

  6. Check the products list. Below, the Products list shows each size with a coloured label. Amber Night 10ml says 2 left in amber. Rose Musk 10ml says Out of stock in red. Rose Musk 5ml says 14 in stock in green.

  7. Act on what is running out. Two left is a reorder decision. Out of stock is either a reorder or a decision to hide the size until more arrives. Fourteen in stock needs nothing. The list makes those three decisions take seconds.

  8. Let confirmed orders keep the count. From now on, each time Hiruni confirms an order for Amber Night 10ml, one is taken from the two. She does not need to edit the product after each sale.

A simple way to decide when two is too few: if Amber Night 10ml sells about one a day and a new box takes four days to arrive, reorder when you are down to four or five, not two.

Tips for sizes and stock

  • Count what you buy sealed, and leave uncounted what you make to order. Mixed approaches are fine as long as each size is clear.
  • Do a quick count every week or two and fix any size that has drifted. Bottles given as gifts or samples are the usual cause.
  • Hide rather than delete. A seasonal size can go off the link in December and come back in April with its price intact.
  • Keep the same size names across products. Buyers compare 10ml with 10ml, so do not call one 10ml and another 10 ml bottle.
  • Check the products list after a busy day. It is quicker than opening each product.

Common mistakes

Typing a count but never confirming orders. Stock is taken on confirm. If you pack straight from chats, the count stays high and the link keeps selling.

Counting a decanted size. A 5ml filled from a larger bottle runs out when the large bottle does, not when a 5ml count hits zero. Counting it gives a false figure.

Deleting a size to stop orders. You lose the price and any notes. Switch it off instead.

Forgetting to save. Changes to sizes only reach the link after Save changes. If buyers still see the old price, check that you saved.

What should you do next?

Ship the day's parcels. The next tour in Hiruni's day shows a cash-on-delivery order arriving at the buyer's door, the cash ticked as received, and the order marked delivered.

To set sensible reorder levels for your best sellers, read the reorder point guide. The stock control guide covers counting and recording stock in more depth, and the stocktake guide is useful once a month to make sure your counts and your boxes agree.

How EasyTaskr helps

In Share & Sell each size has its own price and stock, or no count if you do not track it, and a switch shows or hides it on your link. Confirming an order takes the stock, and the products list shows how many are left, or Out of stock, for every counted size.

Questions people ask

Do I have to count stock for every size?

No. Leave the stock field empty for a size you do not count, such as one you decant to order. The size stays on sale with no count, and only the sizes you count show a number.

When is stock taken off?

When you confirm an order. Until then the bottles are still available to other buyers, so confirm promptly on busy days.

What is the difference between hiding a size and deleting it?

A hidden size is kept with its price and stock but buyers cannot see it on your link. Switch it back on and it returns as it was. Deleting would lose those details.

What happens when a size reaches zero?

The products list shows Out of stock for that size, so you can see it at a glance. Restock it by typing the new count, or hide it from the link until more arrives.

Does Share & Sell warn me before something runs out?

The products list shows how many are left for each counted size, such as 2 left, so you can see what is running low when you look. Check it after a busy day.
